Once you decide to buy online with Soul Surfing you will leave
the Soul Surfing website to a secured site that has 128 bit
or greater encryption to keep your details safe. This online
payment gateway is hosted by Infusionsoft and supported by Eway
Australia. No credit card details are collected on the Soul
Surfing website.
Billing Policy - General Billing
All charges are in Australian Dollars.
Following is Soul Surfing’s billing policy all customers must
comply with. Usage of Soul Surfing’s services/products constitutes
customer’s acceptance of this billing policy.
· All accounts are set up on a prepay basis. Soul Surfing must
receive payment before any product or service is provided. Customers
are required to keep a valid credit/debit card on file to charge
for recurring monthly payment plans.
· All International clients must pay by credit/debit card. SoulSurfing
does not accept international cheques.
· Customers are responsible for keeping all credit/debit card
details and contact information current.
· All recurring payments are automatically invoiced and charged
to the credit/debit card on file. This includes monthly, quarterly
and annual charges.
· Invoice and payment receipts are available to customers upon
request.
Payment Plans
Billing cycles begin upon invoicing. Once invoiced, each customer
is committed to the remaining term of the billing cycle. Refunds
of payments will only be given within the guidelines of the
Cancellation Policy within the Terms and Conditions document.
Payment Methods
Soul Surfing accepts payments via credit/debit card. Payment
by any other means, such as cheque, is on a per customer basis
and must be agreed to by Soul Surfing. Cheques must be paid
in Australian dollars and issued from an Australian bank. Payment
by cheque is only accepted for prepayment of our goods and services.
Soul Surfing currently accepts MasterCard and Visa credit/debit
cards.
Cancellation Policy
Exceptions to this policy cannot be made for any reason, including
weather or personal emergencies.
We are committed to providing a high quality holiday, have limited
spaces and will do everything we can not to cancel a lesson or
package with guests booked on it; therefore we expect to receive
only firm bookings from intended guests.
If a guest must cancel their booking, our policy is as follows:
Surf Lessons:
1. Transfer of booking to another day is acceptable if given
24hrs notice.
2. Cancellation of lessons will incur a 20% fee.
Surf Camp or Retreat:
1. All Surf Camps or retreats are transferable up to one month
in advance for no charge.
2. If you cancel at any time up to one month prior to the start
of the package you will incur a 10% cancellation fee.
3. If you cancel within one month of the package date you will
forfeit your 20% deposit
4. If you cancel within 2 weeks of the package date you will incur
a 50% cancellation fee OR 20% fee if you change your booking to
another date.
5. If you cancel within 1 week of your package you will forfeit
your payment in full.
6. All refunds will be issued by bank transfer 14 days following
our acknowledgment of the cancellation.
7. There is no refund for arriving late or leaving early. There
are no partial refunds for any services not used while on a Soul
Surfing package.
8. All cancellations must be received verbally through a Soul
Surfing representative. . E-mail requests to cancel do not constitute
acceptance of any cancellation.
9. Soul Surfing is not responsible for expenses incurred in preparation
for any cancelled trips, such as airline tickets, other outside
operators, or for costs incurred due to travel delays, flight
cancellation or illness.
We accept no responsibility for any delay, loss or extra expense
that may be incurred by you or any member of your party as a
result of lost or destroyed package details, travel documents,
nor will any credit or refund be given by us. We will not be
liable if you miss flights or arrive late due to traffic issues.

Travel arrangements
Individuals are responsible for booking their own travel arrangements
to and from Port Macquarie.
If you are planning to fly, please book and confirm your airline
travel before or shortly after paying for your package. On receipt
of your travel documents, please check for correct travel information
and supply Soul Surfing with complete arrival and departure details
as soon as possible. If you are flying into Coffs Harbour please
try to arrive at least 3 hrs + prior to our package starting and
depart 3 hrs + after we have concluded.
Our Responsibility to You
As the retreat operator, we make arrangements with other parties
to provide you with some of the services on your Soul Surfing
package. These parties are independent suppliers over whom we
have no direct control. Soul Surfing holds no responsibility for
independent contractors (or weather conditions) changing services
on the package.
Soul Surfing is not responsible for any claims, losses, damages,
costs or expenses arising out of injury, accident or death; loss
of enjoyment or frustration, whether physical or mental resulting
from:
- The act or omission of any party other than Soul Surfing
or its employees.
- Mechanical breakdown, government actions, weather or other
factors beyond our control.
- Your failure to read information provided and follow instructions
including, but not limited to, obtaining required travel protection
and health insurance and providing correct and complete personal,
health, travel information and surfing ability.
- Your medical, health problems or physical disabilities.
